Provides administrative assistance to department operations and to meet established objectives for quality, accuracy, timeliness, and completeness.


  1. Performs a variety of administrative and secretarial duties to support management, including drafting and typing memos, reports, and correspondence, preparing presentation materials, routing packages delivered to front desk, typing and distributing meeting minutes, and coordinating meetings. (25%)
  2. Creates and maintains standard and special spreadsheet reports to ensure availability of complete and accurate data. Collect and assimilate date in spreadsheets and software programs (25%)
  3. Processes, prepares, maintains, and distributes a variety of documents and files to facilitate smooth operations and to ensure availability of complete and accurate data. (20%)
  4. Facilitates internal communication to ensure smooth operations and flow of information. (15%)
  5. Provides back-up assistance to other functions and support staff to ensure smooth operations and adequate coverage. (15%)
  6. Performs other related and assigned duties as necessary.

High school diploma or equivalent



3 to 6 years of relevant work experience, including general clerical experience


Knowledge, Skills and Abilities

  • Grammar and business English (J)
  • Basic office equipment and machinery (PCs, copiers, fax machines, adding machines, etc.) (J)
  • Telephone system, voice mail, and paging systems (J)
  • PC word processing/spreadsheet software/email/internet (J)
  • Relevant department concepts, procedures, and regulations (B)
